Heat pump installs, from heat loss to handover
A heat pump install is a week of visits, an EIC, a DNO notification and an MCS clock. Onroute plans the week, files the evidence as your engineers work and produces the paperwork from the same job.

A heat pump install isn't one job — it's six
Heat-loss survey, installation, commissioning, the EIC, MCS, F-Gas records — every heat pump carries all six, each with its own evidence and most with a clock. They sit on the job in the order you'd actually do them, and the MCS registration can't go in until the EIC and commissioning are done.

Heat pump compliance, built in
Someone will ask for the file on a grant job, sometimes years later. Every certificate, notification and record is on the job when they do.
MCS workflows
Coming soonSoon: the MCS registration held until the EIC and commissioning are done, and its ten-working-day clock warning you before it's late.
F-Gas records
Coming soonSoon: the refrigerant record kept on the job with the rest, so it's there when an assessor asks — not on the fridge engineer's phone.
Multi-day job plans
Plumber Monday, electrician Thursday, commissioning next week, booked as one plan — and the install can be held back until the heat-loss survey is done.
Commissioning records
Results captured on the engineer's phone, time-stamped and filed against the job.
Handover packs
Your customer gets one pack: manuals, certificates, commissioning results, warranty and safety information.
The evidence is there before anyone asks
Grant-funded work gets audited. Onroute files the evidence as the job runs: who did what and when, photos, submissions, signed declarations, certificates. Coming soon: every deadline on a clock, with a warning before it's late.

Features
- Every deadline warns you before it's late — and warns the office if nobody actsComing soon
- Photos time-stamped on site, filed when the phone finds signal
- Open the job to answer an auditor, not your inbox
- One screen showing which jobs are at risk this week
The deposit paid before the van leaves
Heat pumps are big invoices. Onroute takes the deposit by card when the customer books, and can show a monthly finance figure beside the price. Payments go straight into your own account, not ours.
Features
- Deposit taken by card when the customer books
- The grant taken off the customer's totalComing soon
- A monthly finance figure beside the price where you offer it
- Final balance settled at handover, not chased after it
Enquiry to handover, hands mostly off
Heat-loss survey first
The survey that sizes the system, filed on the job — the quote and the design come off it.
The week plans itself
Plumber, electrician and commissioning booked in one go as one plan — not three diaries.
Commission and certify
Commissioning results captured and the EIC signed on site; the certificate emailed before you've left the street.
Claim, register, hand over
The customer's pack sent at handover — the MCS clock and the grant voucher join this step soon.
Questions installers ask
Does Onroute handle Boiler Upgrade Scheme vouchers?
Not yet, but it's on the way. The voucher will sit on the job as its own step, with its deadline counted down beside the MCS clock and the grant taken off your customer's quote. The chip on the tile above comes off when it's live.
How does it cope with multi-day installs?
Build the week once — plumber Monday, electrician Thursday, commissioning the week after — save it as a template and book it in one go. Onroute suggests an engineer and a date for every visit. Move one visit and the rest of that engineer's day is reshuffled; times you've promised a customer stay put.
What about MCS deadlines?
The MCS certificate has 30 calendar days from commissioning under the redeveloped scheme; until your certification body moves you across, your legacy standard's own window applies. Coming soon: Onroute Intelligence counts it down on the job, warns you before it's late and escalates if it's close — and the certificate can't be raised until the EIC is issued and commissioning is done, so nothing goes in out of order.
Does the DNO need telling about a heat pump?
Yes, and it's done from the job itself. Fill in the supply details once and the notification is sent to the DNO for you. You can see where it's got to — with the DNO, cleared, or they want more information — and if they're slow, we chase.
We use a subbie for the electrics. Can they see the job?
Yes, once their firm is connected to yours on Onroute. Share the job and it appears in their own Onroute, marked as shared, with the visits and paperwork they need. Put their engineer on a visit and the share happens on its own. They can't delete the job or take it over, and your private notes stay private.
Is heat pump support available today?
Yes. The diary, the multi-day plans, the evidence capture, the EIC and the DNO notification are the same ones EV, solar and battery installers use today. A couple of heat-pump steps aren't there yet, and the chips on this page say which. We'd rather tell you here than on day one.
